Privacy Policy

We're pretty serious about keeping your information safe and sound. Here's the straight talk on how we handle your data.

Last Updated: January 2024

Introduction

Look, we get it - nobody actually enjoys reading privacy policies. But here's the thing: at Kyrendra L. Quinth Architects, we've been working with clients across Vancouver for years, and trust is everything in our line of work. Whether you're reaching out about a heritage restoration project or just browsing our portfolio, we want you to know exactly what happens with your info.

This policy applies to our website and any communications you have with our studio. We follow Canadian privacy laws (PIPEDA, to be specific), and we're not about selling your data or doing anything sketchy with it.

We're not collecting data just for the sake of it. Here's what we gather and why:

Personal Contact Info

When you fill out our contact form or email us at studio@kyrendralquinth.info, we'll collect your name, email, phone number, and whatever details you share about your project. Pretty standard stuff - we need this to actually get back to you and understand what you're looking for.

Project-Related Details

If we're working together on a residential or commercial design, we'll need info about your property, budget considerations, timeline, sustainability goals - basically everything that helps us create something that actually works for you. This might include site photos, existing building plans, or municipal documents.

Technical Website Data

Like pretty much every website out there, we collect some basic tech info: your IP address, browser type, pages you visit, how long you stick around. This helps us keep the site running smoothly and figure out what content people actually care about. We're not tracking you across the internet or anything creepy like that.

Payment & Billing Info

For active clients, we'll have your billing address and payment details. We use secure payment processors and don't store full credit card numbers on our systems - we're architects, not a bank.

We're gonna be real with you - we use your info to run our business and serve our clients. Here's the breakdown:

  • Responding to inquiries: When you reach out, we use your contact info to actually answer your questions. Seems obvious, but we're being thorough here.
  • Project delivery: All those project details you share? That's what we use to design your building, coordinate with contractors, handle permits, and deliver the architectural services you're paying for.
  • Communication: We'll send project updates, scheduling info, invoices, and occasionally share news about our studio or sustainable design trends. If you're not a client, we won't spam you - promise.
  • Legal stuff: Sometimes we need to keep records for professional liability reasons, building code compliance, or other legal requirements. It's part of being licensed architects in BC.
  • Improving our services: We look at website analytics and client feedback to figure out what's working and what needs tweaking. Your individual data isn't shared - we're looking at patterns and trends.

We won't use your personal info for purposes you haven't agreed to. If something changes, we'll let you know.

We're not in the business of selling client data. Period. But here's when we do share information:

Project Collaborators

Architecture isn't a solo gig. We work with structural engineers, contractors, landscape architects, interior designers, and other consultants. They'll get relevant project info they need to do their part. Everyone we work with is bound by their own professional confidentiality requirements.

Service Providers

We use third-party services for things like website hosting, email, cloud storage, and payment processing. These providers have access to data necessary for their specific functions, but they're contractually obligated to keep it secure and not use it for their own purposes.

Legal Requirements

If we're legally required to disclose information (court orders, regulatory investigations, etc.), we'll comply. We'll also share info if necessary to protect our legal rights or prevent harm.

Portfolio & Marketing (With Permission)

We love showcasing our work, but we always ask clients first before featuring their projects in our portfolio or on social media. If you'd rather keep things private, that's totally cool - just let us know.

Note: We don't sell, rent, or trade your personal information to third parties for their marketing purposes. That's not how we operate.

Yeah, we use cookies - and no, not the delicious kind we have with coffee during client meetings.

What Cookies Do

Cookies are tiny text files that help our website remember stuff about your visit. They let us know if you've been here before, remember your preferences, and track which pages are popular. Nothing invasive - just basic website functionality and analytics.

Types We Use
  • Essential cookies: These keep the website working properly. Can't really turn these off without breaking stuff.
  • Analytics cookies: Help us understand how people use our site. We use this to make improvements and create better content.
  • Preference cookies: Remember your settings and choices so you don't have to re-enter them every visit.

You can control cookies through your browser settings if you want. Just heads up - disabling some cookies might make parts of the website not work as smoothly.

Google Analytics: We use Google Analytics to understand site traffic. Google has their own privacy policy, and we've configured our setup to respect user privacy as much as possible.

Under Canadian privacy law, you've got some solid rights when it comes to your personal data. Here's what you can do:

Access Your Information

Want to know what data we have about you? Just ask. We'll provide a copy of your personal information in a reasonable timeframe.

Correct Inaccuracies

If something's wrong or outdated, let us know and we'll fix it. We want your info to be accurate anyway - it helps us serve you better.

Request Deletion

In many cases, you can ask us to delete your personal information. There are some exceptions (like if we need it for legal or contractual reasons), but we'll honor these requests whenever possible.

Opt-Out of Communications

Don't want our occasional newsletters or updates? No problem. Every email we send has an unsubscribe link, or you can just email us directly. We'll still need to contact you about active projects though - that's just part of doing business together.

Withdraw Consent

If you've given us permission for something specific (like using project photos in our portfolio), you can change your mind. Just give us reasonable notice so we can update our materials.

To exercise any of these rights, contact us at studio@kyrendralquinth.info or call (604) 555-0847. We'll respond within 30 days.

We take security seriously - probably comes from years of making sure buildings don't fall down. Here's how we protect your data:

  • Encrypted connections: Our website uses SSL/TLS encryption (that's the little padlock in your browser). Data sent between your computer and our servers is encrypted.
  • Secure storage: We use reputable cloud services with strong security measures. Access is limited to staff who actually need it for their work.
  • Regular updates: We keep our systems and software updated to protect against known vulnerabilities.
  • Limited access: Not everyone in the studio has access to all client data. We follow the principle of "need to know."
  • Physical security: Paper documents with sensitive info are kept in locked cabinets at our Vancouver office. We shred what we don't need.

That said, no system is 100% foolproof. We do our best to protect your information, but we can't guarantee absolute security (nobody honestly can). If we experience a data breach that affects you, we'll notify you and the relevant authorities as required by law.

Pro tip: Keep your own passwords secure and don't share login credentials if we set up any client portals for your project.

We don't keep data forever. Here's our general approach:

Active Client Projects

While we're working together, we keep everything related to your project. This includes all communications, design files, technical drawings, permits, and correspondence. It's all necessary for delivering our services.

Completed Projects

After project completion, we retain records for at least 10 years. This is partly due to professional liability requirements - if questions come up about the design or construction, we need those records. It's also helpful if you come back for additions or renovations down the road.

General Inquiries

If you contacted us but didn't become a client, we'll typically keep your initial inquiry for about 2 years. This way if you reach out again, we have context. After that, we'll delete it unless there's a good reason to keep it.

Financial Records

Tax law requires us to keep financial and billing records for 7 years. Can't get around that one.

If you want us to delete your information sooner (and we're legally able to), just ask. We'll do what we can.

Our website might link to other sites - manufacturer websites, industry resources, articles we find interesting, that sort of thing. Once you click through to another site, this privacy policy doesn't apply anymore. Those sites have their own privacy practices, and honestly, we don't control what they do.

Same goes for any social media platforms where we have a presence. If you interact with us on Instagram, LinkedIn, or wherever, those platforms' privacy policies govern how they handle your data.

We try to link to reputable sites, but it's always smart to check their privacy policies if you're concerned about how they handle information.

Things change - technology evolves, laws get updated, our business grows. We might need to modify this privacy policy from time to time.

When we make changes, we'll update the "Last Updated" date at the top of this page. For significant changes that materially affect how we handle your data, we'll make a reasonable effort to notify you - probably via email if we have your address, or through a notice on our website.

We'd encourage you to check back occasionally, especially if it's been a while since you last read through this. Not the most exciting reading, we know, but it's important stuff.

If you've got questions about this privacy policy, concerns about how we're handling your information, or want to exercise any of your privacy rights, we're here to help.
